Invite users and assign roles
Add people to your workspace manually, by CSV, or automatically through SSO, SCIM, and HR sync, and give each person the right role.
Roles
Nucleus OS uses granular roles so each person sees only what they need. The built-in roles are:
| Role | Can do | Typical people |
|---|---|---|
| Admin | Everything: workspace settings, billing, integrations, security, all content and data. | L&D operations, IT owners |
| Creator | Create, edit, and publish content; run review gates; export SCORM. Cannot change workspace settings or billing. | Instructional designers, subject-matter experts |
| Manager | See progress, mastery, and readiness for their own reports; assign learning to their team; review recorded practice. | People managers, team leads |
| Learner | Take assigned and self-selected learning, use the AI tutor, practice, and earn certificates. | Everyone else |
A person can hold more than one role, for example a team lead who is both a Manager and a Creator.
Keep admins few
Admins can see all learner data and change security settings. Most organizations need two or three admins, not more. Give subject-matter experts the Creator role instead.
Ways to add people
Best for a pilot or a small team.
- Open the people area of your workspace settings.
- Enter one or more email addresses and choose a role.
- Invitees receive an email with a link to join. Pending invitations can be resent or revoked.
Managers and teams
Manager visibility follows your org structure. When you sync HR data or upload a CSV with a manager_email column, each manager automatically sees their direct and indirect reports. Executives see roll-ups, and sensitive fields can be restricted by role.
Removing people
Deactivating a user ends their access immediately and frees their seat. Their completion records, certificates, and audit history are kept so compliance reports stay complete. With SCIM or HR sync, deactivation happens automatically when someone leaves.
