Enrollment rules
Assign programs automatically by role, team, location, start date, or any HR attribute, for current and future employees.
Enrollment rules decide who needs what and by when. You write a rule once and Nucleus OS applies it continuously: new hires and people who change roles are enrolled the moment their record changes.
Anatomy of a rule
| Part | Example |
|---|---|
| Audience | department = Support AND location in (Lisbon, Dublin) |
| Program | The "Support agent onboarding" path |
| Timing | Enroll on start date; due 14 days after start date |
| Exceptions | Exclude employment_type = contractor |
| Re-enrollment | Re-enroll when the certification is 30 days from expiry |
Attributes you can use
Any attribute synced from your HR system or uploaded by CSV can be used, including custom fields:
- Role, job title, job family, level
- Department, team, cost center
- Location, country, region
- Manager, start date, employment type
- Custom fields such as license type or shift pattern
Create a rule
Choose the program
Pick a course, path, or certification.
Define the audience
Combine conditions with AND and OR. The preview shows exactly who matches today.
Set timing
Choose when enrollment happens (immediately, on start date, on a fixed date) and the due date (fixed, or relative to enrollment or start date).
Activate
Active rules run continuously. Existing matches are enrolled right away, unless you choose "future matches only".
Check the preview before activating
A broad rule on a large workspace can enroll thousands of people and send thousands of notifications. Always check the match count and the notification settings first.
Joiners, movers, and leavers
| Event | What happens |
|---|---|
| Joiner | A new person matching a rule is enrolled automatically, with due dates relative to their start date. |
| Mover | When someone changes team or role, they are enrolled in the new audience's programs. Programs they no longer need can be kept, made optional, or withdrawn, depending on the rule. |
| Leaver | Deactivated users are unenrolled from open programs; their completion history is kept. |
Rules versus manual assignment
Managers and admins can still assign learning manually for one-off needs. Use rules for anything that applies to a group, so it keeps working without someone remembering to do it. All changes, rule-driven or manual, are written to the audit trail.
